Raise & Track Requests

Raise a request when your Role cannot complete the change. The confirmed example is a Wallet credit.

Why the Reason Matters

The approver only sees what you write. A good reason says what should change, why, and any member context.

Good:

Member Emma Wilson was unable to attend due to a studio closure. Requesting a wallet credit of 50.

Avoid:

Please approve.

On the current list, the requester’s text appears on the card (for example a short note under the title). Vague text makes Sophie Bennett’s job harder.

Workflow — Raise a Request

Step 1 — Start the Restricted Action

Open the record — for a wallet credit, The Member and their Wallet.

Step 2 — Enter the Change

Enter the amount or other details Fitnez Studio asks for.

Step 3 — Add a Reason

Explain the change clearly.

Step 4 — Review

Check member, amount, and reason.

Step 5 — Choose an Approver If the Form Asks

See Choosing Who Should Approve. Do not assume you pick a name unless the form shows that field.

Step 6 — Submit

Submit so the request is Pending.

There is no screenshot of the form used to raise a request. Button labels such as Request or Submit are not confirmed. The list shows the result: a Wallet Credits card with a reason, Requested by, date, and amount.

What the Approver Needs

They should be able to see:

  • What you asked for (title such as Wallet credit of 100 for a member)
  • Your reason
  • Who requested it
  • When
  • Amount and method, such as 100 · Cash

What Happens Next?

The request should appear on Approvals → Permission Requests. Track it on Tracking Your Requests. Do not treat the wallet (or other record) as changed while status is Pending.

Choosing Who Should Approve

Someone with permission must decide Approve or Reject. This page only records what is confirmed.

Who Can Approve?

Roles on Members cards include Admin, Staff, and Trainer. When User Type is Staff, Role can be MANAGER or STAFF.

There is no screenshot of an approver picker, and no list of which roles can approve. This guide does not invent a hierarchy or say that only Admin can decide.

Automatic Versus Manual Selection

The Approval Requests list shows Requested by, not who will approve.

Until a raise-request form is captured:

  • Do not assume you must pick Sophie Bennett by name
  • Do not assume Fitnez Studio assigns an approver for you
  • Use the field Fitnez Studio shows, if it shows one

If no eligible approver is available, this guide cannot describe the error. Ask a manager if you cannot submit.

How to Check Before You Submit

  1. Start the restricted action.
  2. Look for an approver field.
  3. If none appears, submit if the form allows it, then confirm the card on Approvals → Permission Requests.

Tracking Your Own Requests

After you submit, open Approvals → Permission Requests to see status. Use the tabs, then Refresh if the list looks stale.

There is no separate My Requests label on the current screenshot. Use All or a status tab. Cards show Requested by, so you can find your own.

Workflow — Track a Request

  1. Open Approvals → Permission Requests.
  2. Choose All, Pending, Approved, Rejected, or Cancelled.
  3. Find the card by title, member, amount, or date.
  4. Read the reason, status, and Review note if shown.

The full list layout is on the Overview.

Statuses

StatusMeaningWhat the requester should do
PendingSubmitted, no decision yetWait. Do not treat the change as done
ApprovedAcceptedCheck the record (for wallet, History). Automatic update is not confirmed
RejectedDeclinedRead the Review note, then submit again only if still needed
CancelledWithdrawnSubmit a new request if the change is still required

Approved and Rejected cards are visible on the current screenshot. Pending and Cancelled are tab names; those cards are not shown.

What You Should Look for on a Card

  • Title (action and member)
  • Status badge
  • Category (Wallet Credits in the current screenshot)
  • Your reason
  • Requested by
  • Date and time
  • Amount and method (such as 100 · Cash)
  • Review note after a decision

Opening a card for extra fields is not in the screenshot. Use what the card already shows.

Cancelling a Request You Raised

Cancelled is a status tab on Approval Requests. Use cancel only if Fitnez Studio shows that action on a request you raised.

When Cancellation May Apply

The topic plan: the requester can withdraw a request before it is completed.

There is no screenshot of a Cancel action, and no Cancelled card. This guide does not say who can cancel, or whether Approved or Rejected requests can be cancelled. Do not claim you can cancel after a decision unless the product shows that.

Workflow — Cancel (If Shown)

Step 1 — Find Your Request

Open Approvals → Permission Requests. Use Pending if the request is still waiting.

Step 2 — Cancel

Use Cancel if it is on the card or detail view.

Step 3 — Confirm

Complete any confirmation.

What Happens Next?

If cancel works, the request should appear under Cancelled. The approver should no longer need to decide. The original change should not apply.

If you still need the change, Raise a New Request.
